Salescast

Overview

Salescast, from Lokad, is a web-based application that offers inventory optimisation assistance using Quantile Forecasting. They recommend ‘ordering points’ (At which point should I order more of this item), and order quantities (How much should I order when I reach the ordering point?). This is done by analysing your inventory, and your past sales. Recently, they have updated their integration with Linnworks to use our API, but for those customers that don't have access to the API, you can still use the manual method below.

Exporting data from Linnworks

To get your data from Linnworks to upload into Salescast, you need two files from ‘Query Data’.

  1. Order details between Dates
  2. Stock Items (With Levels).

The longer the period covered by the first file, the more accurate the output file will be.

Order Details between Dates

  1. In Linnworks, go to the ‘Dashboards’ tab.
  2. Select ‘Query Data’.
  3. Click on the down arrow next to the ‘Query Type’ box.
  4. Select ‘Order Details between Dates’.
  5. Select the ‘To Date’ control. Set it to today’s date.
  6. Select the ‘From Date’ control. Set it to the start of your useful order history in Linnworks. This means the earliest date when you were using Linnworks fully, and you were selling some or all of the stock you now are.
  7. Click ‘Execute’ to run the report.
  8. In the top right hand corner of the tab, to the right of the ‘Execute’ button, is another button, with an icon that shows a white page, a blue arrow and a white ‘x’ on a green square. Click on this to export the report.
  9. Select the option to save the file. Select a location where you will be able to find the file when it’s time to upload it to Salescast, and use the name “Lokad_Orders.csv”.

Stock Items (with levels)

  1. In Linnworks, go to the ‘Dashboards’ tab.
  2. Select ‘Query Data’.
  3. Click on the down arrow next to the ‘Query Type’ box.
  4. Select ‘Stock Items (with levels)’.
  5. Select the ‘Location’ control. Ensure you have selected the inventory location you want the inventory optimisation file to address.
  6. Click ‘Execute’ to run the report.
  7. In the top right hand corner of the tab, to the right of the ‘Execute’ button, is another button, with an icon that shows a white page, a blue arrow and a white ‘x’ on a green square. Click on this to export the report.
  8. Select the option to save the file. Select a location where you will be able to find the file when it’s time to upload it to Salescast, and use the name “Lokad_Items.csv”.

Uploading files to Salescast for analysis

The ‘files’ tab in Salescast can be used to upload the files produced for analysis. If you click on the 'Configure Project' button, and copy the content of the 'Example of Linnworks mapping' into the 'Header Mapping' field, Salescast will import the data correctly for you from your files.

 

Using the SalesCast report with Linnworks

The report file output by Salescast includes a lot of information. To use it with Linnworks however, we need only really use a couple of the columns. The Id, or SKU, the Reorder Point, and the Order Quantity. We’ll use the Reorder Point as the Minimum Level in Linnworks, and the Order Quantity as the Supplier Min Order Quantity. This means that you’ll need to use this file for 2 imports with the Data Import Tool.

The outcome of this will be that when you use the ‘Reorder Low Stock’ functionality to recommend Purchase Orders, it will use the results of the Salescast Quantile forecasting to generate a recommended purchase order.

Linnworks needs a CSV file for import, so before starting, please open the report in your spreadsheet application and save it as a CSV (Comma Separated Value) file.

Reorder Point to Min Stock Level

  1. Open the Data Import tool.
  2. Select the ‘Stock Level Import’ Import type.
  3. Click ‘Next’.
  4. Select the Salescast report file that you saved as a csv.
  5. Select ‘Next’.
  6. In the Column Mapping Screen, Map the ‘Id’ column to SKU.
  7. Map the ‘Reorder Point’ column to MinimumLevel.
  8. Click ‘Next’.
  9. Click ‘Import’.
  10. Close the Data Import tool once the Import has completed.
