Template Designer in Linnworks.net

Overview

The Template Designer allows you to create and edit layouts for the documentation produced by Linnworks. These include Invoices, Picking Lists and Packing Lists.

The Template Designer in Linnworks.net may produce slightly different results in positioning of elements when viewed in the Linnworks Desktop Template Designer. As such, we would recommend that you switch wholly from using one to using the other to avoid possible discrepancies.

How do I create a new Invoice Template?

1. Open https://linnworks.net/ and login using your Linnworks account credentials. 
  • a) Open your web browser.
  • b) Copy and paste the address https://linnworks.net/ into the Address field and hit Enter or Go.
  • c) Enter your registered email address and password for Linnworks into the fields displayed.Login
  • d) Click the Sign In button.
2. Select Settings > Template Designer.
  • a) In the navigation menu on the left side of the screen, click on SettingsSettings
  • b) Under Settings, select Template DesignerTemplate Designer
3. In Template Designer, under the Invoice Template heading, make a copy of the default template. 
  • a) Locate the Invoice Template heading.Template Designer
  • b) Each section has a default template, and to the right are the controls. Click on the Copy button.Copy
  • c) Linnworks will ask for a name for the new template.Name
  • d) After entering the name, click Accept.Template Designer

 

How do I create a new Picking List?

1. Open https://linnworks.net/ and login using your Linnworks account credentials.
  • a) Open your web browser.
  • b) Copy and paste the address https://linnworks.net/ into the Address field and hit Enter or Go.
  • c) Enter your registered email address and password for Linnworks into the fields displayed.Login
  • d) Click the Sign In button.
2. Select Settings > Template Designer.
  • a) In the navigation menu on the left side of the screen, click on SettingsSettings
  • b) Under Settings, select Template DesignerTemplate Designer
In Template Designer, under the Pick List heading, make a copy of the default template.

How do I create a new Packing List?

How do I edit an Invoice Template?

1. Open https://linnworks.net/ and login using your Linnworks account credentials. 
  • a) Open your web browser.
  • b) Copy and paste the address https://linnworks.net/ into the Address field and hit Enter or Go.
  • c) Enter your registered email address and password for Linnworks into the fields displayed.Login
  • d) Click the Sign In button.
2. Select Settings > Template Designer.
  • a) In the navigation menu on the left side of the screen, click on SettingsSettings
  • b) Under Settings, select Template DesignerTemplate Designer
3. Locate the template you want to edit under the Invoice Template heading. Select Edit.
  • a) Locate the Invoice Template heading.Template Designer
  • b) Find the template you wish to edit in the list to the left.
  • c) After locating the correct template, click on the Edit button to the right for that template.
  • d) This opens the Template Designer tab with the selected template loaded.
4. In the Template Designer tab, you can move or remove existing elements. Alternatively, you can add new elements.
  • a) Existing elements can be dragged and dropped with the mouse to move them. The border turns yellow when selected.
  • b) You can resize elements by moving the mouse over the border, it will change to a double ended arrow – Horizontal or vertical to resize in that dimension.
  • c) If you hit the Delete key while an element is selected, that element will be removed from the template.
  • d) To add a new elementdrag an entry from the list of Available Elements to the left, and drop it on the Template Design.
5. You can adjust the page sizeorientation etc under the Template Settings heading.
  • a) To the left of the page layout, under the Template Settings heading are the page layout options.
  • b) The Page Size can be changed from a drop down box – This contains some common paper sizes and a Custom option.
  • c) The Orientation can be selected as Portrait or Landscape.
  • d) The Virtual Printer field allows you to select an output device for the document to be printed to.
6. To edit the content shown in an element, double click that element.
  • a) Double clicking a Labels and Variables element opens up the editor. You can set borders, change font and text colour, and use Linnworks Variables and Font Colours.
  • b) Double clicking an Order Items or Order Notes element opens the Edit Table window. This allows you to select which columns are shown, the order they’re displayed in and a number of other details.
  • c) Double clicking an Image element opens up the Edit Image window. You can select the image file to display, change borders and the displayed size of the image or even set Visibility Conditions.
  • d) The PPI Stamp element, when double clicked, allows you to edit the settings to display a Royal Mail or TNT PPI stamp. You can add your Account Number, associate services with stamps and choose a default stamp.
  • e) The Shipping Label element, when double clicked, only offers the option to select if it is embedded as Landscape or Portrait.
7. Remember to Save your changes.

 

How do I edit a Pick List?

1. Open https://linnworks.net/ and login using your Linnworks account credentials. 
  • a) Open your web browser.
  • b) Copy and paste the address https://linnworks.net/ into the Address field and hit Enter or Go.
  • c) Enter your registered email address and password for Linnworks into the fields displayed.Login
  • d) Click the Sign In button.
2. Select Settings > Template Designer.
  • a) In the navigation menu on the left side of the screen, click on SettingsSettings
  • b) Under Settings, select Template DesignerTemplate Designer
3. Locate the template you want to edit under the Pick List heading. Select Edit.
  • a) Locate the Pick List heading.Pick List
  • b) Find the template you wish to edit in the list to the left.

How do I add an embedded Shipping Label to an Invoice Template?

1. Open https://linnworks.net/ and login using your Linnworks account credentials. 
  • a) Open your web browser.
  • b) Copy and paste the address https://linnworks.net/ into the Address field and hit Enter or Go.
  • c) Enter your registered email address and password for Linnworks into the fields displayed.Login
  • d) Click the Sign In button.
2. Select Settings > Template Designer.
  • a) In the navigation menu on the left side of the screen, click on SettingsSettings
  • b) Under Settings, select Template DesignerTemplate Designer
3. Locate the template you want to edit under the Invoice Template heading. Select Edit.
  • a) Locate the Invoice Template heading.Template Designer
  • b) Find the template you wish to edit in the list to the left.
  • c) After locating the correct template, click on the Edit button to the right for that template.
  • d) This opens the Template Designer tab with the selected template loaded.
4. In the Template Designer tab, you can add a Shipping Label element. This prints the Shipping Label as part of the invoice on a peel off section, instead of separately.
  • a) Use the left mouse button to drag the Shipping Label element onto the invoice.Pick List
  • b) The element is 6 inches by 4 inches in Landscape by default, and shows dummy data. You can move it and other elements on the page layout to make it fit.  Pick List
  • c) You can double click the element to open the Edit Shipping Label window. Untick the Landscape option, changing it to Portrait if that better fits your layout.Pick List
  • d) ensure the element is in the corresponding location to your peel off section. This can be found on your stationery, and ensures there are no issues during dispatch.
7. Remember to Save your changes.
